Reservation Policy

Vermont Interactive Technologies accepts reservations from its website or via email or phone on a first-come, first-served basis. If the requested meeting time is available, VIT will issue a contract to the client for the requested dates/times. The client must sign and return the contract immediately.

A request becomes a confirmed reservation only when a signed contract, and deposit or scheduling fee (if required) are received by VIT. VIT reserves the right to release the requested dates/times if the contract is not received within five (5) business days from the date the contract is issued (date listed in the upper right corner of the contract).

Deposits & Scheduling Fees

All multi-session videoconference reservations require a 25% non-refundable deposit at the time the reservation is confirmed. No deposit is required for single session videoconferences.

For all worldwide videoconference reservations, a non-refundable scheduling fee ($65 per national videoconference or $100 per international videoconference) is due with the signed contract.

Invoicing

Invoicing takes place immediately following your videoconference, or cancellation thereof, and is based on the rate structure applicable at the time of the videoconference. Payment is due within thirty (30) calendar days from date of invoice. Late payment charges of 5% per month will be charged on all overdue accounts, accrued monthly.

VIT reserves the right to implement a rate increase at the beginning of each state fiscal year (July 1). Clients will be notified of any pending increase at least two months prior to the new rate implementation. View our Rates.

Support

Your VIT liaison, identified on page 1 of your contract, will contact you to gather information on your videoconferencing needs and technical requirements. VIT requires that all computer presentations be tested at VIT more than 24 hours prior to your videoconference. While we'll do our best, VIT cannot be responsible for, or guarantee, any last minute technical support requests. Read more on Technical Support.

Inclement Weather Policy

In the case of inclement or hazardous weather conditions:

  • Vermont Interactive Technologies reserves the right to close VIT sites if conditions have been deemed exceedingly dangerous or of an emergency nature by the State or Town.
  • You have the right to cancel your videoconference. If you reschedule that session for a later date within the same fiscal year, VIT will not charge you for the inclement weather cancellation. If you do not reschedule by the end of the fiscal year, you will be billed in full for the contract price.
  • If you decide to cancel due to inclement weather, please leave a message for VIT's Scheduling Coordinator at 802-728-1695, at least two hours before the videoconference's scheduled start time. VIT will notify its technicians. It is your responsibility to notify your participants. VIT will post cancellations on its website.
