Cancellation Policy
Even meetings planned long in advance can get cancelled due to the unexpected. Please review our cancellation policy, and let us know if you have any questions. We have a separate policy for cancellations due to inclement weather. Contact our Scheduling Coordinator right away if you have to cancel your videoconference, a site, or a session.
Cancellation charges are based on the amount of advance notice you are able to give us, and are calculated as a percentage of your contract cost.
Cancelling a Single-Session Videoconference
Site Cancellation
5 or more business days prior: 0% of contract cost (you will not be charged for the site)
4 or fewer business days prior: 100% of contract cost (you will be charged the full site cost)
Session Cancellation
60 or more business days prior: 0% of contract cost (no charge)
59 to 11 business days prior: 25% of contract cost
10 to 0 business days prior: 100% of contract cost (you will be charged the full contracted cost)
Cancelling a Multi-Session Videoconference
Site Cancellation
5 or more business days prior to the first session: 25% deposit forfeited
4 or fewer business days prior to the first session: 100% of contract cost (you will be charged the full site cost)
Session (Date) Cancellation
60 or more business days prior: 0% of contract cost (no charge)
Fewer than 60 business days prior to the first session: 100% of contract cost (you will be charged the full cost for that session)
Contract Cancellation
5 or more business days prior to the first session: $10.00 per site
4 or fewer business days prior to the first session: 100% of contract cost (you will be charged the full contracted cost)
Worldwide Videoconference Cancellation Policy
49+ hours prior to your videoconference: scheduling fee forfeiture
48-25 hours prior: 50% of the contract cost
24 hours or less before your videoconference: 100% of contract cost (you will be charged the full cost)
